Te Matapihi - Board Secretary 

  • Full-time | Hybrid | Preferably Wellington-based.
  • Be at the centre of Board governance and executive coordination.
  • Bring your expertise to an organisation grounded in kaupapa Māori.

Some roles sit behind the scenes but have an impact across everything. This is one of them.

Te Matapihi is seeking an experienced governance and executive support professional to provide trusted support to the Board and high-level coordination and administrative support to the Chief Executive. This is a role for someone who sees what needs to happen, brings order to complexity and ensures the important things get done accurately and on time.

Te tūranga | The role

You will lead the end-to-end coordination of the Te Matapihi Board meeting cycle and ensure agendas, papers and Board packs are prepared and distributed on time; attend Board meetings and produce accurate minutes; maintain governance records; coordinate flying minutes; follow up agreed actions; and ensure Board documentation is managed to a consistently high standard. The role extends well beyond the Board table.

Working closely with the Chief Executive and wider Te Matapihi team, you will help coordinate meetings and key engagements, domestic and international travel, correspondence, presentations and briefing material, stakeholder activity, hui and organisational projects. You will often be the person connecting the dots, keeping track of what has been agreed, following up on action points, what needs to happen next, who needs to be involved and when it needs to be delivered. 

You will also have the opportunity to contribute to how Te Matapihi works. Comfortable working with BoardPro, Microsoft Office, Teams and contemporary digital tools, you will look for smarter and more efficient ways of doing things and be open to the appropriate use of AI and emerging technology. 

Ngā pūkenga me whai | Skills and experience

This is a broad and trusted position that brings together governance coordination, executive support, stakeholder engagement and organisational administration. You may already be working as a Board Secretary, Governance Coordinator, Executive Assistant or in another senior coordination or administration role where confidentiality, judgement and attention to detail are part of how you operate. 

You will be highly organised, an excellent communicator and someone who can manage competing priorities without losing sight of the detail. You will know when to take initiative, when to seek direction and how to work confidently and professionally with Board members, senior leaders, kaimahi and external stakeholders.

You will bring a strong grounding in te reo me ōna tikanga and an approach to your mahi that is consistent with the kaupapa and values of Te Matapihi. Just as importantly, you will be someone others trust and enjoy working in a calm, responsive, adaptable and dependable manner.
