Te Whānau O Te Maungarongo is an established social services provider delivering a range of specialist counselling services and programmes to support individuals (men and women), tamariki, rangatahi and whānau affected by family violence. Their services include relationship and grief counselling services and individual and group programmes for violent offenders.
Te Whānau O Te Maungarongo are a whānau-based, kaupapa Māori organisation that is deeply committed to upholding tikanga practices.
Reporting to the Office Manager, as Kaiāwhina Manaaki Tari, you will deliver exceptional customer service and administrative support to our Te Whānau team, to support the effective delivery of services for our community. You will manage various administrative tasks and oversee the reception area and serve as the first point of contact for visitors (manuhuri), clients, and contractors.
Your role will be key in creating a safe, welcoming, inclusive, and caring environment for our vulnerable community members, clients, and staff.
Key responsibilities:
- Maintaining the reception front desk and greeting manuhuri, clients, and contractors
- Answering the main phoneline and monitoring the general email inbox, triaging and responding to enquiries in a friendly and timely manner
- Assisting our kaimahi with booking appointments for new and existing clients, and preparing relevant documentations for appointments
- Attending and organise weekly staff meetings and assist with meeting preparations and take minutes as required
- Receiving and acknowledging supplier invoices and forwarding them onto the accountant
- Maintaining the registry and dates for insurances and vehicle registrations
- Ordering and monitoring office stock levels, stationery and inventory
- Scanning and maintaining files, records, documentations in an orderly manner
- Providing administrative support to the Office Manager and General Manager as required
- Uphold the principle that our door is always open to those who seek support.
You will be an experienced kaiāwhina, committed to the values of Whanaungatanga, Manaakitanga, and Kotahitanga. Demonstrating integrity in your mahi, you will bring strong interpersonal and organisational skills. Your dedication, passion, and positivity will allow you to engage effectively and respectfully with our community and Te Whānau team.
This is a permanent part-time, office-based role, 30 hours per week, Monday to Friday, from 9am to 2.30pm. Located in Central Lower Hutt, with easy access to public transport, amenities, and nearby parking.
Person Profile:
- Proven experience as an office assistant kaiāwhina, receptionist, or in a similar admin role
- Experience in client/customer-facing roles
- Empathy for vulnerable individuals, engaging with tangata, whānau, rangatahi, and Tamariki
- Experience in an NGO or social services environment is a plus
- Ability to work in a culturally responsive manner with diverse people from different backgrounds and ethnicities
- Strong time management and organisational skills
- Excellent written, verbal, and interpersonal communication skills
- A strong commitment to Te Tiriti O Waitangi principles, or experience in a Kaupapa Māori environment
- Positive, calm, helpful, warm, welcoming, aroha-driven with a whanau-based approach
- Strong self-awareness and ability to maintain healthy boundaries
- Proficient in MS Office 365 and CRM database systems.
